Best attendance software in Pakistan (2026 guide)

How to compare attendance systems for Pakistani teams in 2026: what actually matters, the questions to ask in every demo, and a shortlist of options worth looking at.

The short answer

There is no single "best" system. The right one depends on how your people work:

  • Field, site or multi-branch staff: choose a mobile app with GPS geo-fencing and selfie verification.
  • Biometric machines already on the wall: choose cloud software that syncs with your devices in real time, so you don't buy hardware twice.
  • Payroll every month: make sure attendance, leave and payroll share one system, with tax slabs you can update after each budget.
  • Tight budget: compare flat plans with per-employee pricing at your real headcount, including devices and setup.

A note on bias: this guide is written by the team behind HR360 Attendance, so our product is on the shortlist. We've kept the buying advice vendor-neutral and linked to every other option so you can compare for yourself.

Why paper registers and standalone machines fall short

Most Pakistani businesses start with a register at reception or a fingerprint machine by the door. Both work until the team grows. Then the same problems appear:

  • Proxy attendance. A colleague signs in for someone who is late, or a card is swiped on someone else's behalf.
  • Month-end firefighting. Someone exports data from the machine on a USB stick, cleans it in Excel and types it into payroll. Every step adds errors.
  • No view of other branches. Head office only finds out what happened in Lahore or Karachi when the spreadsheet arrives.
  • Field staff on trust. Sales, service and site teams aren't near a machine, so their attendance is whatever they report.

Attendance software fixes this by capturing each check-in at the source, verifying who made it and where, and sending it straight into timesheets, leave and payroll.

8 things to look for in Pakistan

1. The right ways to clock in

Look for a system that supports how your staff actually work. Office teams suit biometric terminals (face, fingerprint or card). Field and site teams need a phone app with GPS geo-fencing, which only allows check-ins inside approved locations, and a live selfie, which stops one person clocking in for another. Many organizations need both, in one dashboard.

2. It works with the machines you already own

If you've already invested in Hikvision or ZKTeco terminals, ask whether the software connects to your exact models, and whether punches arrive in real time or only after a manual import. Real-time sync is what removes the month-end export. We explain how this works in our guide to connecting a Hikvision attendance machine to cloud software.

3. It copes with load-shedding and weak signal

Power and internet cuts are a fact of life on many sites. Ask what happens when the connection drops: can the mobile app mark attendance offline and sync later? Does the terminal keep punches in its memory until the internet returns? A system that loses data during an outage will cost you more than it saves.

4. Multi-branch and field visibility

If you have more than one location, you should be able to set up each office, factory or project site as its own location, give branch managers access to their own teams only, and still see everything in one place at head office. For sales and service staff, client-visit tracking shows where people went and when.

5. A direct link to payroll and local compliance

Attendance data is only valuable if it reaches payroll without being retyped. Check that worked hours, late arrivals, overtime and approved leave flow into salary automatically.

Pakistani payroll also has local rules. Salary income tax is withheld under slabs set by the FBR, and those slabs usually change with the federal budget each July. Employers also deal with EOBI contributions and, depending on the province, social security registration. You don't need software that hard-codes these, because they change. You need software where salary components, deductions and tax slabs are configurable, so you can update them yourself after each budget.

6. Leave policies and Pakistani holidays

Every company has its own leave types: annual, casual, sick, and often special leave. The system should let you define them, choose how they accrue and handle requests and approvals on mobile. It also needs an editable public holiday calendar. Eid holidays depend on moon sighting, so you need to be able to adjust dates at short notice.

7. Pricing you can predict

Vendors price in different ways. Some charge per employee per month (often in PKR); others offer flat plans with a set number of staff. Work out the total cost at your real headcount, then add any devices you need to buy, setup or training fees, and the cost of growing to next year's headcount. A low per-head price can become expensive quickly, and a flat plan can be poor value if you only have a handful of staff.

8. Local support and your data

When something goes wrong at 9am on payroll day, you want a local team you can reach by phone or WhatsApp. Ask where support is based and what hours it covers. Also ask about data: is it backed up, can managers only see their own teams (role-based access), and can you export everything if you ever leave?

The main types of attendance solution

Before comparing vendors, decide which type of solution fits you. Most products in Pakistan fall into one of these groups.

10 questions to ask in every demo

  • Can staff clock in by phone and by biometric terminal, and do both appear in one report?
  • Which device brands and models do you support, and is the sync real time?
  • What happens to attendance when the internet or power goes down?
  • How do you stop proxy attendance on mobile?
  • Can I set up each branch as its own location with its own manager?
  • How do late arrivals, overtime and approved leave reach payroll?
  • Can I update tax slabs and salary components myself after the budget?
  • Can I edit public holidays, including Eid dates, at short notice?
  • What is the total cost for my headcount this year and next, including devices and setup?
  • Where is support based, how do I reach it, and can I export my data if I leave?

How to roll out attendance software in two weeks

  1. Write down your rules

Shifts, grace periods, late and half-day rules, overtime, leave types and holidays. Most delays come from rules nobody had written down.

  2. Set up locations and employees

Add each office and site, then import employees with the same employee numbers you use on any existing machines.

  3. Connect devices and the app

Link any biometric terminals and have staff install the mobile app. Run one test punch per location.

  4. Run in parallel for one cycle

Keep your old method for one payroll period and compare the results. Fix any rule differences before you switch fully.

  5. Switch over and train managers

Show managers how to approve leave, correct missed punches and pull reports.

Where HR360 fits

HR360 is a good match if your team mixes office, field and multi-branch staff, or if you already own Hikvision terminals and want punches to reach payroll automatically. Flat plans keep costs predictable as you grow, and our team sets up your locations, rules and devices with you.

It's less suited if you need a full ERP with accounting and inventory finance in the same system; in that case, look at an ERP and connect attendance to it.

Frequently asked questions

What is the best attendance software in Pakistan?

It depends on your team. For field and multi-branch staff, choose software with GPS geo-fencing and selfie verification. If you already have biometric machines, choose cloud software that syncs with them in real time. If you run payroll monthly, keep attendance, leave and payroll in one system with configurable tax slabs.

Is a biometric machine or a mobile attendance app better?

Biometric terminals suit staff who work in one office. Mobile apps with GPS and selfie checks suit field, site and remote staff. Many businesses use both, so choose software that shows both in one dashboard.

How much does attendance software cost in Pakistan?

Pricing is either per employee per month or a flat plan for a set number of staff. HR360 starts at $10 per month for up to 10 staff. Always compare total cost at your real headcount, including any devices and setup.

Does attendance software handle FBR income tax?

Attendance software with a payroll module can calculate salary tax. Because FBR slabs usually change with the July budget, choose software where you can update tax slabs and salary components yourself.

Can attendance software work without internet?

Good systems can. Mobile apps can mark attendance offline and sync later, and many biometric terminals store punches locally until the connection returns. Ask each vendor how they handle outages.
